Using Voice Memos to Capture HVAC Job Notes Hands-Free

When you're on a ladder with a manifold gauge in one hand and a flashlight in the other, the last thing you can do is type job notes into a phone. R-Pro pairs a field app built for exactly that moment with a full office ERP that turns those notes into real records — two powerful tools, one workflow, so what you say in the mechanical room becomes a billable job in the office without you re-typing a thing.

Field Workflow

Capture notes by voice while your hands stay on the job

Turn spoken notes into office records, automatically

One workflow: from spoken word to the books, no double entry

Talk it through on site, bill it from the office

R-Pro gives you a field app that captures voice memos, diagnosis, and scans hands-free, plus a full office ERP for quotes, invoices, and accounting — two powerful tools in one workflow, so what you say on the job becomes a record in the books.

FAQ

Is R-Pro a field app or an office program?

Both — and they're equals, not one bolted onto the other. The field app handles voice memos, AI fault diagnosis, nameplate and receipt scanning, per-customer history, and on-site receipts, fully offline. The office ERP handles quotes, invoices and tax invoices, accounting, inventory, suppliers, and reports. They share one subscription and one workflow, so field work flows into the office books automatically.

Do voice memos transcribe automatically?

No — transcription is manual on purpose. You record hands-free while you work, then tap 'transcribe' when you're ready. That keeps you in control of when notes are turned into text, so nothing gets mangled by auto-processing while you're still mid-job.

Will voice memos work with no signal?

Yes. The field app is fully offline, so recordings and notes are saved on the device in a basement plant room or on a rooftop with no service. Everything syncs to the office ERP once you're back in coverage.

Can I set my own country's tax on invoices?

Yes. In the office ERP you set your own tax name and rate — VAT, GST, or sales tax — so invoices built from your field notes are correct for wherever you run your business.
